Customers & Contacts
ClientScribe manages your customers and contacts. Once they're in the system, you can create activities and tasks, attach documents, organize them into groups, send Emails and create marketing campaigns.
Customers
ClientScribe helps you manage your customers. Depending on your business, you may call them clients, prospects, associates, vendors, or anything else. Creating groups can help you organize them. Search by using simple or advanced options.
Contacts
Sometimes a customer is one person. Other times it can be a company. In that case, the customer may have many employees that you need to communicate with. Creating multiple contacts helps you do just that.
Import & Export
Get started by importing a list of contacts that you may already have. It's easy to do, intuitive and fast. ClientScribe guides you every step of the way (there's only two) and makes sure you see exactly what's going on before the final import. You can also export your contacts to an Excel or csv text file.
Activities
Activities are interactions between you and your customers and contacts. Depending on your business, you can create different types of activities. Start by defining what these types are, and then when something happens, create an activity.
What are they?
Anything you do regarding your customers and contacts is an activity. A law office may keep track of a Contract Preparation, an insurance broker may have Received Policy Renewal and a landscape crew may set reminders like Monthly Maintenance Visit. Also, many businesses would probably want to log a Telephone Conversation. To get started, create activity types that reflect exactly how your business operates. Once you do, every time something happens, create an activity.
Tasks & Reminders
Don't forget! Create reminders to help you follow-up your customers. Then, whenever you login, generate a to-do list that'll grab your attention.
Users
ClientScribe group plans give you unlimited users, which means everyone in your company can use the program. When users login, ClientScribe remembers them. So when user David creates an activity for a phone conversation with customer Renaissance Printing Ltd. user Mary can login at a later day, and see that David had spoken with the customer last.
Projects
Organize your work into cases or projects. For example, a marketing campaign helps you keep track of companies and people contacted. Law offices can group their activities for a client into cases.
Activity Categories
Whenever you create an activity, you have the option of assigning it to a project. You can assign activities from different customers to a single project, or group activities for a client into projects. A Marketing Campaign could span activities for multiple clients, whereas a law case, 191 Cove Road Property Purchase, would apply to one.
Project Overview
Manage a project's activities, customers involved and follow-ups. Drill-down linking helps you view details of the project from any level.
Filtered Views
View activities based on any combination of search parameters. See what's going on during a range of dates, for a specific project, and for certain activities.
Documents
Use ClientScribe to store all your customer documents, whether they're promotional material, layouts and specs, correspondences, notifications, proposals, reminders, invoices, or just about anything else. ClientScribe has some pretty powerful search capabilities to make sure you can find a document when you need it.
Attached Document
You just sent a proposal to your customer, what next? Create an activity and attach a copy of the document. This way, you can easily find it in the future. In fact, you can attach any kind of document or image file to a customer record. Once you do, you'll never say "Hhhhhmmm, where did I save that file?"
File Storage
Use ClientScribe for powerful online storage. Here's how. Create an activity type and call it something like File Storage or Customer Documents. Then create an activity for a customer using this type. If you have any sort of documents or files, simply attach them to this activity. In essence, you've created a folder for the customer that you can use to store all their files.
Powerful Searching
You remember sending an invoice to a customer for a special one-time spring offer. Problem is, you don't remember which one. Type the words spring offer and ClientScribe will scan all the customer documents and find the ones where these words show up.
Email & More
ClientScribe is closely integrated with Email. You can send an Email to any contact and save it as an activity. Also, you can easily import/export contacts for managing a mailing list.
Messages
Send Emails to your customers and contacts directly from ClientScribe. There's no need to switch back and forth between your contact screen and Email client. After sending the message, you can save the Email as an activity.
Activities
You can send an activity to a contact or to any other Email address. Simply call up the activity, specify the recipient, and click Send.
Fax
If you have a fax account with companies such as eFax and MyFax, Emails sent through ClientScribe can be received as faxes. By saving the fax as an activity, you'll have a permanent record of it.
Settings
You're business works in a certain way, and you shouldn't have to change that. Instead, you can change the way ClientScribe works. The Settings area lets you do just that.
Activity Types
Create different types of activities depending on your business. If you're not sure, don't worry, just leave this blank. ClientScribe doesn't force you to classify your activities. It's sort of like an Email subject... there are times when you just don't want to enter it.
Users
Each person in your company can have their own username. This helps keep a better log of your customer's history. So the next time they call, you know who spoke to them last.
Groups
ClientScribe manages customers. You may have different types of customers... clients, prospects, associates, or something else. Organize them by creating groups.
Plans
Check out your plan and current status. Want more storage? upgrade. Don't need that much, downgrade. Want to stop using ClientScribe, cancel. Do whatever you want, whenever you want.
